Which Calendar Should I Use? Global vs. Segment vs. Member Calendar 🗓️

This Article explains the difference between Movement's Global, Segment, and Member calendars, and when to use each to control who sees scheduled content.

Written by Casey Berghuis

Quick summary

Calendar

Who sees it

Best for

Global Calendar

Every member in your app

Events, webinars, weekly workouts — anything everyone should see

Segment Calendar

Everyone currently in that segment

Content for a group that shares a trait (a program cohort, a membership tier, an engagement status)

Member Calendar

One specific member you select

1:1 coaching, personal check-ins, custom workouts for an individual

What it is: the default, app-wide calendar. Anything you schedule here is visible to every member in your app.

How to access it: click your "Calendar" (or "Schedule") item in your main navigation, or find it in the sidebar of the builder.

Expected behavior: content scheduled on the Global Calendar appears for everyone — there's no targeting. Movement also auto-populates filters at the top of your app's calendar based on whatever content types you've scheduled, so members can filter down to what they're looking for; you can customize which filters show and in what order.

When to use it:

Events, webinars, or livestreams your whole community should know about

Weekly workouts or content drops that apply to your entire membership

Anything where you want one calendar to represent "what's happening in the app" as a whole

When not to use it: if you only want a subset of members to see something — that's a sign you actually want the Segment or Member Calendar instead.

Segment Calendar 🗓️

What it is: Each Member Segment (a group of members you've defined, either manually or with dynamic filters) has its own Calendar tab. Content scheduled there is visible only to members currently in that segment.

How to access it: open the segment in your Members area, then go to its Calendar tab.

Expected behavior: this is where segments get powerful. If your segment is dynamic (filter-based — e.g., everyone who joined a specific program, or everyone with an active subscription), membership updates automatically as members' data changes, and so does who sees the segment's scheduled content. Someone who newly matches the filter starts seeing it; someone who no longer matches loses it — no manual work required. If your segment is manual, you control membership yourself, and the calendar content follows whoever you've added.

When to use it:

  • Scheduling content or push notifications for a specific group that isn't your whole app but is bigger than one person.

  • Any time "who should see this" is best described as a rule ("everyone in the VIP tier," "everyone who joined this challenge") rather than a fixed list of names

Note: Custom segments (both manual and dynamic) are available on Pro, Business, and Enterprise plans. Free and Base plans only have access to Movement's built-in segments.

What it is: a calendar scoped to one individual member at a time.

How to access it: go to the Global Calendar, then select "Member Calendar" from the dropdown in the top left, and choose the member.

You can also access the member calendar by going to the members profile first, then selecting the calendar tab.

Expected behavior: content you schedule here is visible only to that one member — nobody else in your app sees it. This calendar will also show anything that member is already seeing from a program or course they've joined, so it acts as a full picture of that individual's schedule, not just what you've added manually to their calendar.

When to use it:

  • 1:1 coaching sessions

  • Personal check-ins

  • Custom, individualized workouts or content built specifically for one person

When not to use it: if you find yourself repeating the same scheduling action across several members one by one, that's usually a sign a Segment would save you time instead.

A related feature worth knowing: the Program/Course Calendar

This isn't one of the three calendars above, but it's the other place content scheduling behavior commonly causes confusion, so it's worth a quick mention. Content scheduled inside a program or course only appears on a member's calendar after they've joined that program — and it has three modes that change how dates behave:

  • Rolling Calendar — fixed dates, the same for every member regardless of when they join (good for things like weekly workouts everyone should do together)

  • Relative Range — dates are relative to each member's own join date (good for sequential content like "Day 1, Day 3, Day 7" that should start fresh for each person)

  • Start on Date — a fixed start date for everyone, ideal for cohort-based courses where the group should move through content together

How these all fit together

A member's personal calendar view in your app is really a combination of: whatever's on the Global Calendar, anything from a Segment they're currently in, anything from a program or course they've joined, and anything scheduled directly to them on the Member Calendar. If a member says they're not seeing something you scheduled, the fastest way to troubleshoot is to check which of these four you used — and confirm the member is actually in the segment, or has actually joined the program, that the content depends on.
